WOLO / PRIVACY
Privacy Policy
This policy explains how Wolo collects, uses, and protects your information when you create an account and use the Wolo medical learning and clinical reference platform.
Last updated: 20 October 2026
Who is responsible for your information
Wolo is responsible for the personal information described in this policy. For privacy questions, access requests, corrections, or to withdraw from Wolo communications, contact us at hello@wolomed.app.
Information we collect
Account information. To create an account you provide an email address and either set a password or sign in with Google. If you use Google sign-in, we receive basic account identifiers from Google to authenticate you; we do not receive your Google password.
Profile information. You may provide a display name, your role or training stage (for example medical student, house officer, medical officer, or resident), medical school, year of study or specialty, areas of interest, a learning goal, and, where relevant, a student or professional registration number. This helps us tailor learning content to your stage. If you choose a public handle for leaderboards or community features, that handle and related standings may be visible to other learners; your email and private profile details are not.
Learning activity. When you use question banks, daily challenges, flashcards, notes, and similar tools, we store your activity so you have a personal learning history — for example question IDs and versions, the answers you selected, whether they were correct, response times, dates, and your progress. Notes and reviews you create are stored under your account.
Support and communications. If you contact us or report an issue, we keep your message and contact details to respond. If you choose to receive product updates, we record that choice and its version and time.
Technical information. We collect limited technical data needed to run and secure the service, and privacy-respecting website analytics as described below.
Please do not submit patient information, health records, or other sensitive personal information through Wolo.
Website and product analytics
We use privacy-respecting analytics to understand how the website and product are used. Our website analytics providers do not use tracking cookies to follow you across other sites. We use this information in aggregate to measure traffic, performance, and which features are useful.
Learning analytics and your choice. If you enable Analytics in your profile settings, we use your verified, consented learning activity to understand participation, question difficulty, learning goals, and return visits, and to show anonymous cohort insights (such as which topics learners collectively find easy or hard). Reporting is aggregate only: it excludes activity recorded without consent and accounts whose current analytics choice is off, and cohorts with fewer than five learners are omitted. These reports do not establish clinical competence and never include learner identifiers. You can turn Analytics off at any time in your profile settings without losing your personal learning history; an offline change takes effect on the server after you reconnect.
How we use your information
- to provide your account, your learning history, and the features you use;
- to tailor content to your role and training stage;
- to maintain, secure, and improve the platform and protect it from misuse;
- to respond to your messages and, where relevant, send service or product communications;
- to produce aggregate, anonymised insights about learning and platform use.
We do not sell your personal information, and we do not use it to make automated clinical or professional decisions about you.
Our legal basis and your choices
We process account and learning information to provide the service you ask for. Product-update communications are optional, are not preselected, and you can unsubscribe at any time using the link in an update email or by emailing us. Learning analytics is governed by the opt-out toggle described above. Withdrawing consent does not affect processing that occurred before it was withdrawn.
Who may process your information
We use carefully selected service providers to run Wolo, including Supabase for secure data storage, Vercel for website hosting and web analytics, Cloudflare for content delivery and privacy-respecting analytics, Google for optional sign-in, and Brevo for email delivery. These providers process information only to provide services to Wolo and under appropriate safeguards.
International processing
Our service providers may process information in countries outside Ghana. Where this happens, we take reasonable steps to use appropriate contractual, technical, and organisational safeguards.
Retention and security
We keep your information for as long as your account is active and as needed to provide the service, meet legal obligations, and resolve disputes. If you delete your account, we remove or anonymise your personal learning data, including cloud learning answers and presentation records, except where we must retain limited information by law. We use access controls and reasonable technical and organisational measures to protect information from unauthorised access, loss, or misuse.
Your rights
You may ask to access, correct, update, delete, or export your personal information, or object to or restrict certain processing. You can manage much of your profile and your analytics choice directly in your settings, or contact us at hello@wolomed.app. You may also complain to Ghana’s Data Protection Commission. We will respond to requests in line with applicable law.
Children
Wolo is intended for students and practitioners in the health professions and is not directed at children. If you believe a child has provided us personal information without appropriate consent, contact us and we will take appropriate steps.
Cookies and local storage
Wolo uses browser storage for essential purposes — your display preferences, sign-in session, personal learning history, and pending offline sync. These are necessary for the service to work. Our website analytics do not rely on tracking cookies. Optional learning analytics uses the account preference described above, which you can manage in your profile settings.
Changes to this policy
We may update this policy as Wolo develops. We will post the updated version here and change the “Last updated” date. Significant changes will be communicated where appropriate.
